This Privacy Policy describes how PayClaim (payclaim.com.au), operated by Ken Zhao ABN 27 624 169 069 (“PayClaim”, “we”, “us”, “our”), collects, uses, stores, and discloses your personal information. We are committed to complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information We Collect
Account Information
- Name, email address, and password (or Google account identifier if you use Google Sign-In)
- Australian Business Number (ABN)
- Business name and contact details
Claim Information
- Contract details, work descriptions, and amounts claimed
- Principal (head contractor) contact details you provide
- Supporting documentation you upload
- Claim history and status
Payment Information
- Payment card details are collected and processed directly by Stripe Inc. We do not store full card numbers. We retain transaction IDs, amounts, and dates.
Technical Information
- IP address, browser type, device type
- Pages visited, time spent on pages, referring URL
- Cookies and similar tracking technologies (see Section 7)
2. How We Use Your Information
We use your personal information to:
- Create and manage your account
- Generate and deliver payment claim documents on your behalf
- Process payments and maintain financial records
- Verify your ABN via the Australian Business Register (ABR)
- Send transactional emails (claim confirmations, receipts, account notifications)
- Administer the referral program
- Improve the platform and diagnose technical issues
- Comply with our legal obligations
3. AI Processing
PayClaim uses the Anthropic Claude API to assist in generating claim documents from the information you provide. Your claim data (work descriptions, amounts, dates) is transmitted to Anthropic’s API for processing. Anthropic’s privacy policy applies to that processing. We do not send your name, email, or payment card details to Anthropic.
4. Disclosure to Third Parties
We disclose personal information only as follows:
- Anthropic (Claude AI): claim content for document generation (see Section 3)
- Stripe Inc.: payment processing
- ClickSend: SMS delivery of payment claim notices
- Google LLC: OAuth authentication (if you use Google Sign-In); Google Analytics (aggregated, anonymised usage data)
- SiteGround: web hosting — your data is stored on servers hosted by SiteGround in Australia or the EU
- Australian Business Register (ABR): we query your ABN for verification purposes
- Law enforcement / regulatory bodies: if required by law or to protect our rights
We do not sell your personal information.
5. Overseas Disclosure
Some third-party service providers process data outside Australia (including the United States). Where this occurs we take reasonable steps to ensure they handle your information in a manner consistent with the APPs.
6. Data Retention
We retain your account and claim data for as long as your account is active and for 7 years after your last transaction (to meet our tax and legal obligations). You may request deletion of your account at any time (see Section 9); we will delete or de-identify your personal data subject to any retention obligations.
7. Cookies
We use essential cookies to maintain your login session. We also use Google Analytics cookies to understand how visitors use the site. You can disable cookies in your browser settings, though some features may not function correctly without session cookies.
8. Security
We implement industry-standard security measures including HTTPS/TLS encryption, hashed passwords, and access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
9. Your Rights
Under the Privacy Act you have the right to:
- Access personal information we hold about you
- Correct inaccurate or out-of-date information
- Request deletion of your account and associated personal data (subject to legal retention requirements)
- Complain about a suspected breach of your privacy rights

10. Complaints
If you are not satisfied with our response to a privacy complaint, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised date. Continued use of the service after the updated policy is posted constitutes your acceptance of the changes.
